Vendor needs to provide employee concerns hotline and ethics incident management system for employee concerns reporting to report concerns via an online system, a phone number, or to an employee, and maintain all documentation in a single cloud-based system,
- To implement an integrated telephone hotline and online reporting system that will document reported employee concerns and follow-up actions in a centralized repository, as a cloud-based software as a service solution,
- The online reporting system must have the following capabilities:
- Electronic acceptance of employee concerns through an easy-to-use web interface,
- Documentation and records retention for concerns raised,
- Anonymous and confidential concerns reporting,
- A means of maintaining anonymity while establishing a means of ongoing communication if necessary,
- Configurable workflows,
- Automatic routing of concerns to the appropriate staff member or department,
- On-demand analysis and reporting,
- The hotline must have the following capabilities:
- Access to live operators 24x7x365 via a toll-free number,
- Access to live operators with the ability to field calls in English and Spanish,
- Automatic routing of concerns to the appropriate staff member or department,
- Full and seamless integration with the incident management system.
