[B] Scope of Service:

(1) Vendor needs to provide planning and implementation services for implementation services of Microsoft Office 365, Azure, Exchange Online, and Teams include the migration of the County’s current on-premise Exchange 2007, Mobile Device Management (MDM), email archiving, cell phone inventory, and user and technical training.
- The County is also looking to migrate its current on-premise SharePoint 2010 based Intranet to the latest Office 365 hosted platform.
- The County is in process on a long-term project to upgrade systems and infrastructure to state of-the art standards. The re-engineering of the County IT environment addresses network, internet bandwidth, cyber security, and public website, connectivity to remote sites, PC operating systems, and internal communications. The initial focus of the re-engineered infrastructure project is the existing County network. The existing network supports in excess of 5,000 staff members. The network refresh project addresses current and projected requirements for the LAN and WAN. The network refresh is being addressed with network segmentation and intelligent network core switches. The network refresh will also benefit from a significant increase in internet bandwidth.
- • Latency was reported with email send/receive transactions. Latency was not a constant issue. When latency occurred, the delay varied between a few minutes and several hours. • Issues were discovered with synchronization of cell phones (iPhone and Android) to cloud Exchange. • Issues were identified with uploading contacts to cell phones. Different versions of Android OS and Air Watch agent appeared to affect ability to successfully upload contacts. • It was discovered that emails for some users were automatically forwarded to SPAM. • Pilot program participants were unable to access Public Folders. • Intermittent issues with connectivity to Office.com were documented. • Pilot Program participants didn't receive emails that were generated by dynamic distribution lists. • Issues with calendars caused some participants to revert to on-premises Exchange. • Modifications to Adobe Pro were required for users.
- The county objectives for this project includes but is not limited to: • Migration of Active Directory to Azure • Migration of Exchange to Exchange on-line • Migration of County emails to Microsoft cloud • Migration of County employees to Office 365 • Migration of Office related data to OneDrive • Migration of County users to Teams • Establishment of storage and retention structure for emails and documents • Establishment of environment where eDiscovery will be used to address Open Records Act requests • Installation of County approved version of Office on all County endpoint devices • Identify and install the mutually agreed upon Office 365 interface on County cell phones • Implementation of new or updated email archiving solution • Implementation of new or updated mobile device management solution • Training of County users • Training of IT technical staff for support of Office 365 • Optional – migration of SharePoint 2010 to SharePoint Online
