Vendor needs to provide feasibility of solutions capable of supporting a hosted cloud-based desk and conference room reservation tool including access to a hosted cloud-based software as a service (SaaS) desk and conference room reservation tool; Scalable- approximately 325 users for approximately 200 desks and 25 conference rooms to start with a possible increase in users, desks and conference rooms in follow-on years; make desk and conference room reservation from a secure mobile app; make desk and conference room reservation from a secure website; compatible with office 365; real-time scheduling for desks; real-time scheduling for conference rooms; make advance reservations; reserve desks for one day or multiple days at a time (max); run trend or usage reports; customize permissions for regular users to admin type users; monitor workspace usage; set up ‘neighbourhoods’ that allows only personnel from those neighbourhoods to reserve desks; remove spaces to enable social distancing; manage private office areas; open or close desks on the fly in case of tech or other issues; help desk support during business hours and data, data at rest and data in transit is secure.
