[B] Scope of Service:

(1) Vendor needs to provide case management solution with the ability to capture and extract data, provide business process and content management, collaboration, analytics and more.
• A solution that reduces risks associated with paper-based processing by creating and using eforms and automatically initiating processes within a case lifecycle.
• Ability to interface with external systems, using flexible APIs allowing users to create real-time, bidirectional communication between the platform and relevant applications and networks.
• Device integration from scanners, fax, email in addition to other systems to increase efficiency with information capture to simplify the paper chase.
• Ability for import of data from documents with associated metadata and ability for direct searches with the system.
• Ability to identify and store all documents related to case files with features for adding internal notes or narrative to improve communication amongst stakeholders.
• Increase productivity through automation, categorization, ability to add filters for identifying high priority cases and the ability to mass update and close multiple cases at once.
• System should provide comprehensive reporting and analysis, predictive intelligence analytics and ability to connect and query multiple data sources with a robust analytics engine to provide different ways to visualize data and KPIs.
• Adaptable to allow for future growth and add-ons, as well as enable the state to estimate and predict future costs. it is desired that the state owns the code and retain the ability to modify or add enhancements as needed.
• A solution that reads data content and extracts key metadata to reduce manual data entry by automatically collecting text through intelligent data capture.
• Document identification and recognition automatically recognize and categorize document types and deliver document and data into a case management system with workflow processes, etc.
• System assigns unique randomly generated case record identifiers for each case file to avoid
using sensitive information (Social Security Number, Medicare ID).
• Ability to set business rules to ensure accurate data capture and error reduction.
• Multiple recognition technology to distinguish between typed and handwritten data.
• Track all types and amounts of debt as well as money received to pay each debt with ability to
obtain a balance and update other accounting and ledger systems.
• A system where the data can be stored indefinitely and raw data may be received from multiple sources.
• Real time access with advanced search capabilities using multiple criteria.
• Reports to track assets and legal information to generate more revenue within regulated time
constraints.
• Ability to connect to and report on other state agency systems; for example, the health management system (HMS).
• The ability to enforce regulations or policies to ensure best practices and guidelines within a solution to produce accurate, quick and consistent decision-making.
• Utilize dashboards, notifications and real-time reporting. Real-time reporting will assist to track production by employee to increase accuracy and timeliness of case files and ensure compliance
with all closure procedures.
• Streamline operations with workflow and work queues to provide task routing and alerts.
• Library of e-templates and other reusable components without custom coding.
• Online payment capabilities with appropriate workflow approvals.
• A solution in which regulatory guidelines and state policies automatically update to maximize adherence and minimize human oversight.
• Configurable audit trails to prove and verify ongoing compliance with the ability to query the tables.
• Reduce risk by automatically meeting compliance.
• Encryption of data or documents where applicable security options
• Expose content for only authorized users to protect sensitive data and provide versioning controls.
• Advanced search capabilities and reporting with security controls.
• Multi-factor authentication for system users.
