[B] Scope of Service:

Vendor needs to provide commercial of the shelf case management and tracking system for the office of the general counsel.
- Provide a robust single web-based case management and tracking system that combines case and matter management, workflow management, document, management, email management, along with office management and automation tools that into one unified system. The system shall be able to support a legal office that handles a wide range of project and litigation-based work in addition to administrative functions and be able to store an unlimited amount of information for an unlimited number of cases or matters.
- Case Management system shall be a relational case management system allowing users to create and manage cases/matters and items within these cases; system shall not limit the number of cases users can create, or the number of items within a case; system shall consist of related case items such as: case data, workflows, tasks, documentation, media, events, notifications, to-dos, and calendar items; system shall have unique identifier for cases, this unique identifier shall relate to all associated items within the case such as, but not limited to, documentation, media, tasks, calendar items, to-dos, emails, and other functions related to the case; system shall have cases organized in a clear way, identifying key data on each page or tab within a case, as well as on case items related to a case; system shall have a way to identify if a duplicate case exists; system shall retain historic data and items within a case through change tracking; system shall track user activity both on cases and case items, displaying user actions within the case to preserve both an audit trail and a chain of evidence; system shall incorporate a case type feature for every new case, and allow for, but not
be limited too, the following case types: administrative litigation cases, trial court cases, appellate court cases, litigation support, financial transactions, correspondence, regulation, legislation, legal advice, legal sufficiency review, grievances, HR matters, FOIA requests.
- Calendar Management: The system shall contain a calendar item as a single item so that when changes are made to an item on the calendar the change happens for all view of the calendar; The system shall have the ability to associate a calendar item with an existing case within the system; The system shall have the ability to provide multiple calendar views, including but not limited to, list, day-at-a-glance, week-at-a-glance, work week, month-at-a-glance, and group/team view; The system shall have the ability to check for duplicate calendar entries, or conflicts in scheduling; The system shall have the ability to schedule a calendar event for multiple users at one time; The system shall have the ability to create recurring calendar events; The system shall have the ability to create tasks and user to-do lists, and the ability to track tasks within case/matters in accordance with due dates; The system shall automatically assign tasks and due dates to users based upon their role in a case/matter; The system shall notify users if a change is made to a task or appointment.
- Document Management: The system shall have a complete and fully functional document management program built into the native application; The system shall store every document or file created or copied into the application into a centralized document store; The system shall have all documents and media associated with cases and related to the cases in the system using case number ID, and documents associated with a case shall appear within the screens for a case; System shall be able to store and index any file type such as Microsoft Office, Outlook messages, .pdf, WordPerfect, .tiff image files, image, audio, and video files.
