[A] Budget: Looking for Proposals

[B] Scope of Service:

(1) Vendor needs to provide case management software as a service
- store, access and organize electronic files by matter, category and type;
- access to download from a cloud solution with the ability to edit and resave files in an organized manner across the Legal Affairs team;
- search by matter, category and type; as well as ability to search within leveraging OCR;
- promote workflow awareness and case management across the Legal Affairs department;
- provide analytic capabilities (include OCR full-text search feature);
- provide document automation, intake capability to enhance workflow
- SSO functionality should be SAML 2 compliant with ability to accept our standard attributes and have support for encrypted assertions and integrate with existing institutional SSO
- Create new matters/(insert any additional text) to include the following: Matter name, Number & Summary, Matter type, Litigation hold status, Reviewers, Assignees and, Corresponding dates
- Document management needs to match matter management:
- Ability to create/edit/delete records and files restricted by role
- Search across the above associated matter categories
- Mirror Legal Affairs or other applicable existing cabinet structure to promote appropriate matter and associated file security/privacy needs or develop new cabinet structures based on matter
type as applicable
- Information entry and search should occur in one location
- Plug-In for Adobe Sign and/or DocuSign – capabilities of this plug-in should be versatile based
on organization/campus needs. Please describe in full the plug-in capabilities
- Save different formatted files (e.g. Word, Excel, Adobe, JPEG, PPT, Visio, Access, .mov, etc.), including large files that can exceed MS Outlook limits.
- Retrieve saved files via full text search or attribute search efficiently and effectively. Include OCR language here.
- Easily assign attributes to a file, assign the file to a matter, save and set retention schedules based on file creation dates and additional metadata. Solution should have the ability to maintain programmed retention schedules and allow institution to set up for destruction, archive, or flag for review
- Document automation in conjunction with workflow capabilities.
- Easily access the matter management system remotely
- Interface the matter management system with other tools easily (e.g., Outlook, Word, Adobe, MS Teams).
- The ability to save file editing and versioning to a computer, the default should not be this. The system should allow for editing to be done within the cloud-based system.
(2) All the questions must be submitted no later than October 18, 2021.
