(1) Vendor needs to provide off the shelf (OTS) commercial software that allows for the receipt and management of all FOIA requests.
- This software shall be comprised of a submission portal for the general public and allow for routing to specific organizations (as identified in submission phase), storing of all submissions in a secure database as the inquiries are being investigated, and a separate, secured database for finalized requests that allow for unlimited recall of each completed file.
- Ability to provide FOIA case management workflow Out-of-the-Box
- Ability to perfect a request
- Ability to record and manage time periods defined by statute and regulation
- Ability to send automated deadline notifications to FOIA processors
- Ability to correspond with and capture correspondence from Outlook
- Ability to correspond with requesters using letter templates
- Ability to add notes to the case record
- Ability to place request processing clock on hold
- Ability to for Admin staff to define and for processors to assign and choose processing status - Ability to task and track tasks assigned to others
- Ability to add attachments to tasks
- Ability to cancel tasks
- Ability to create custom tasks
- Ability to record date assigned to intake staff person
- Ability to search for duplicate requests
- Ability to assign request and send notification to intake staff
