[B] Scope of Service:

(1) Vendor needs to provide customer relationship management (CRM) solution that will help attract, retain, and provide services to its prospective and current student populations.
- The application must be able to offer the following capabilities in these areas and be higher education industry specific: Recruitment; Marketing, Communications, and Engagement; Technical and Support; Records Management; Reporting; Implementation Services; Security and Technical Requirements.
1. Recruitment:
- Ability to create custom forms and landing pages that capture actionable prospective student data, promote recruiting events, capture RSVPs, and track and filter by attendance
- Ability to create personalized portals for applicants that show them content including personalized letters, checklist items and next steps for a variety of types of applicants and programs
2. Marketing, Communication and Engagement
- Ability to engage directly with prospective and current students via chat, email at one or more email addresses, phone, SMS/MMS and student portal via drip marketing campaigns and/or individual messages
- Ability to input conditional and dynamic content based on prospective student information into emails, web pages and letters
- Ability to shift communication plans to alternate campaigns when certain criteria are met.
3. Technical and Support:
- Ability to provide 2-way, real-time data integration into the student information system (oracle PeopleSoft campus solutions)
- Ability to have SIS transactions instantly reflected in the CRM
- Ability to establish synchronous, asynchronous, and streaming type data integrations
- Preference for integration with robocalling tools such as call fire
- Ability to connect multiple data sources such as academic student data, continuing education and veteran’s student data
4. Records Management:
- Ability to store both prospective and current students
- Ability to capture and append as many pieces of data as needed about a person’s record including but not limited to notes, multiple email addresses, phone numbers and information about the person’s interests
- Ability to manually, automatically purge or archive person records based upon business rules and policies
5. Reporting:
- Must have highly scalable ability to run different kinds of queries and reports on any fields within the database
- Provides visual reporting environment (e.g. dashboards, funnels etc.)
- Includes reporting capability that extends beyond the CRM into other systems (e.g. Student Information System) to provide fully integrated analytics
6. Implementation Services:
- The college is seeking proposals under this RFP that are inclusive of all, implementation, integration, training and support services
7. Security Requirements:
- The ability to manage access based on security roles
- The ability to establish security role personas based on job function
- The ability to implement SAML 2.0 SSO
8. Technical Requirements
- Must provide an enterprise-level licensing/subscription model with unlimited users and contacts
(2) All the questions must be submitted no later than December 19, 2022
(3) The contract period will be for five years.
(4) Pre-bid meeting will be held on December 15, 2022
