[B] Scope of Service:

(1) Vendor needs to provide board and commission agenda management software for user friendly to both staff and the public, is a reliable repository for all board and commission meeting agendas and associated documents, that effectively streams meetings and allows public participation, that assists with the agenda creation process and that complies with State and federal laws.
- Development of three Customizable Agenda Templates:
1. Board of Supervisors
2. Planning Commission
3. Water Commission
- Easy to use public facing portal the county is looking for a modern user-friendly system, which allows easy access to the public.
- Real time and live Meeting Management functionality that provides for real time stamping, vote capture and speaker requests during the meetings.
- A Public Participation component that allows for members of the public to submit electronic comments on agenda items, sign up to speak virtually at the meeting with regard to a topic on the agenda and access past meeting public comments.
- Live video streaming of meetings utilizing a modern and professional looking live video stream. The stream should include closed captioning and other required accommodations for those with disabilities.
- Elected and appointed official component which allows board and commission members access to materials by item number and has the ability to permit board and commission members to cast votes as the meeting occurs.
- Prepare an overview of how your software can meet the county’s needs.
- Provide an implementation timeline for transitioning from current software to yours.
- Prepare a demonstration of your software.
(2) All the questions must be submitted no later than February 10, 2023
(3) Non-mandatory remote meeting will be held on February 8, 2023
