[*] Scope of Service:

Vendor needs to provide automated storage shelving solution.
- The automated storage shelving solution will be used to store A4 clinical charts. As these files will be accessed regularly for retrieval purposes, it should be robust and suitable for constant use and meet infection control requirements.
- Provide an automated storage shelving solution for the storage and retrieval of medical charts;
- The Solution must be a Vertical Carousel type filing system;
- The contract will include the supply, delivery, installation, set up, staff training and warranty on the Solution;
- The Service Provider will be required to enter a Service Contract post warranty to include routine maintenance, call out support, spare parts and on-going training for staff.
- The Solution must have a minimum storage capacity of 35,000 charts
- The A4 chart dimensions are 312mm x 240mm and a depth range of between 30 – 80 mm per chart;
- The Solution must comply with industry standards in relation to construction, operation and Health & Safety;
- The solution must be ergonomically suitable to maximise the space available to meet the storage capacity required
- The Solution must be made of robust material suitable for large and heavy quantities of paper storage, i.e. charts;
- The Solution must provide electronic controls to assist the operator in put away and retrieval of the record;
- The Solution must provide for online recording and search of the location of each record including the ability to generate management reporting;
- Each medical record and storage location must be provided with a unique identifier in the solution;
- The solution must record details of retrieved medical records including date, operator and storage location etc.;
- The Solution must provide real time information in relation to available capacity and storage locations;
- The Solution shall include an option to allow for manual retrieval;
- The Solution shall facilitate additional storage capacity if the need or opportunity arises;
- The Service Provider shall ensure that the Solution shall be fit for purpose and maintained in accordance with manufacturer recommendations and that appropriate training shall be made available to all staff operating the Solution
