[*] Scope of Service:

(1) Vendor needs to provide student records online request and payment application system.  
- Contractor shall provide a commercially available software application (contractor off the-shelf software) that enables online management of requests for school records of current and former K-12, Adult Education, and Special Education students.
- Examples include transcripts, graduation verification, immunization records, and attendance verification. The secure online student records request system shall include:
a. user-friendly interface for requests to be submitted and fees to be collected.
b. order routing and tracking for fulfillment by authorized agency employees.
c. printing mailing labels for orders filled manually by agency employees.
d. electronic upload of documents by agency employees.
e. online retrieval of student records ordered by individuals or third parties. (with written authorization as legally required).
f. dashboard analytics for order traffic and fulfilment.
- Provide (United States Postal Services) mailing address validation when user enters the information in the application (e.g., as provided via Smarty/smarty.com)
- Provide requestors with automated order status updates
- Provide requestor-initiated order tracking
- Provide customizable email templates for staff to communicate with requestors
- Provide electronic fee processing of credit/debit cards and e-checks
- Order Routing and Tracking
- Manual Order Fulfillment
- Secure, Cloud-hosted Electronic Order Fulfillment
- Dashboard Analytics
- User Customer Support
- Specifically, phone and email responses within 24 hours, Monday to Friday, excluding federal and state holidays
(2) The contract will be two years.
