[*] Scope of Service:

(1) Vendor needs to provide continuing education tracking system.
- Continuing education requirements refer to the information needed for the agency to capture, maintain, and provide specific Continuing Education (CE) data required.
- Agency will be able to retrieve the following information from the CE system:
i. Number of successfully completed hours.
ii. Category topic the successfully completed CE hours are in.
iii. Time period to successfully complete the CE hours; and
iv. Hours to be carried over from the last renewal period.
v. The ability to manage the CE required by license type and by individual.
vi. Data collection, data retention, data management, and reporting to the agency on completed continuing education hours for all current and future licensees regulated by agency.
- Data access refers to an agency’s ability to access, store, move, manipulate, or retrieve stored data within the CE system, making the process more transparent and accessible.
a) At the end of the contract, agency will be able to download the following information, in a single table, for all licensees:
i. Licensee Number
ii. Course Name and Date
iii. Licensee Name (First, Middle, Last)
iv. Course Category
v. Course Hours Earned
b) At the end of the contract, agency and licensees will be able to download all uploaded CE certificates:
i. A table with licensee number
ii. License Name (First, Middle, Last)
iii. Certificate file name
iv. A compressed archive
v. Certificates by file name
- Data collection involves the gathering, managing, and tracking of CE hours earned by each licensee and storing the data over multiple years.
a) The selected vendor will host all data and provide for the following:
i. Uploading and downloading the data through the agency gateway.
ii. The TMB will provide a web application programming interface (API) for the vendor to electronically access licensee data, including:
• Individual Licensee Information
• New License Data
• Modifications to existing licensee data
b) For each CE course, the selected vendor will gather the following information from the licensee:
i. Course Title
ii. Dates Course Entered
iii. Type of Credits/Hours earned.
iv. CE Hours needed for completion of a specific CE category.
v. Record any continuing medical education (CME), not taken through the agency or outside the agency.
c) The selected vendor will provide storage of electronic copies of completed CE certificates.
d) The CE software will automatically calculate the sum of all CE’s and CE categories combined when entered by a licensee.
e) The CE software will automatically calculate “overlapping” continuing education credits reported from the previous period.
f) Provide an accurate and comprehensive record of a licensees’ CE data to help them meet the requirements of their profession and demonstrate their competency to the agency.
(2) All the questions must be submitted no later than September 22, 2023.
(3) Contract period will be for two years.
